Is it correct that when you dip the oil in the auto box, that it should be warmed up & engine running ?

No - once fully warm stop and move lever between R and D a couple of times, waiting 5 seconds in R and D, then dip.
 
DNR? why do you do it when its warm then?
Because like all fluids they expand when hot so a hot box will give an acurate reading of the level.
 
The gearbox oil MUST be at 80deg C to check properly.
